Sydenham Hill Carpet Cleaners Service Terms and Conditions
These Terms and Conditions set out the basis on which Sydenham Hill Carpet Cleaners provides domestic and commercial carpet cleaning services, together with related cleaning and stain-treatment work. By making a booking, the customer agrees to be bound by these terms, which are intended to create a clear and fair framework for service delivery. In these terms, references to we, us and our mean the service provider, and references to you and your mean the customer, client, or person authorised to arrange the work.
These conditions apply to all carpet cleaning appointments, whether the work is arranged as a one-off service or as part of a recurring arrangement. They also apply to quotations, estimates, site assessments, equipment use, cleaning agents, waste handling, cancellations and limitation of liability. Nothing in these Terms and Conditions affects your statutory rights as a consumer where those rights cannot lawfully be excluded or restricted.
The customer is responsible for reading these terms before confirming a booking. If any part of the service description, quotation or appointment details appears unclear, you should raise the matter before the booking is accepted. Sydenham Hill carpet cleaning services may be adapted from time to time to reflect changes in equipment, cleaning products, operational requirements or applicable law.
1. Booking Process
A booking is formed when we confirm acceptance of your request and provide a date, time window or agreed service schedule. Any quotation or estimate given before confirmation is an invitation to treat and does not constitute a binding agreement until accepted by both parties. We may ask for information necessary to assess the work, including room sizes, carpet type, visible stains, access limitations, pet exposure, prior treatments and any relevant health or safety concerns.
It is your responsibility to provide accurate and complete information during the booking process. If the information supplied is incomplete or materially inaccurate, the scope, price or duration of the service may change. In such cases, we reserve the right to revise the quotation, adjust the schedule, decline the work, or apply additional charges if extra labour, equipment or specialist products are required.
Appointments are subject to availability and may be scheduled within a time slot rather than at a fixed minute. While we will use reasonable efforts to arrive within the agreed window, delays can occur due to traffic, weather, equipment issues, previous job overruns or circumstances outside our control. If a delay becomes likely, we will seek to notify you as soon as reasonably practicable.
2. Prices and Payments
All prices are stated in pounds sterling unless otherwise specified. Quoted prices may be based on standard room measurements, approximate square footage, condition of carpets, and the level of soiling disclosed at the time of booking. If the actual situation differs from the information provided, the final charge may differ from the original estimate. Any price variation will be explained where practicable before additional work is carried out.
Unless otherwise agreed in writing, payment is due on completion of the service and must be made by the payment methods we accept at the time of booking or attendance. We may require a deposit, pre-authorisation or advance payment for larger, urgent, repeat, or high-demand bookings. Where a deposit is taken, it will be offset against the final invoice unless expressly stated otherwise.
Late payment may result in an administration charge and, where lawful, interest on overdue sums. We also reserve the right to suspend future services until outstanding balances are settled. If a payment is reversed, disputed without reasonable basis, or otherwise fails after service has been provided, you may remain liable for the full amount plus any reasonable costs incurred in recovering payment.
3. Customer Responsibilities Before and During the Visit
You must ensure that the cleaning area is reasonably accessible and safe for work to begin. This includes removing small personal items, fragile objects, obstacles, and anything that could be damaged by movement, moisture or cleaning equipment. Where furniture must be moved, we may do so only to the extent agreed in advance and only where it can be done safely without risk of damage.
You should inform us in advance of any hidden damage, unstable fittings, weak flooring, water sensitivity, underlay issues, or previous cleaning attempts that could affect the outcome. Where pets or children are present, you remain responsible for supervising them during the visit. We may refuse to continue work if conditions are unsafe or if we believe proceeding would increase the risk of injury, property damage or poor results.
Carpets should ideally be cleared of loose items before arrival. If the premises are not ready, if access is denied, or if we cannot carry out the work due to circumstances within your control, we may treat the appointment as a late cancellation or aborted visit and charge accordingly. Sydenham Hill carpet cleaning relies on accurate preparation to deliver an efficient and satisfactory service.
4. Cancellations, Rescheduling and No-Shows
You may cancel or reschedule a booking by giving reasonable notice. Unless a different notice period is stated at the time of booking, cancellations made with less than 24 hours’ notice may incur a fee to cover reserved time, planning, and lost business opportunities. For larger appointments, specialist work or bookings requiring advance materials, a longer notice period may apply.
If you fail to be present, fail to provide access, or otherwise prevent the service from taking place at the agreed time, we may charge a call-out fee or part of the agreed price, depending on the circumstances and the level of loss incurred. Where products have already been ordered or staff have been allocated specifically for your job, those costs may also be charged if they cannot reasonably be recovered.
We may cancel or reschedule an appointment due to adverse weather, unsafe working conditions, equipment failure, staff illness, emergency circumstances, or any event beyond our reasonable control. If we cancel for a reason within our control, we will usually offer an alternative date. If you are entitled to a refund of a prepayment or deposit under these terms, we will arrange this within a reasonable period.
5. Service Standards and Limitations
We will use reasonable care and skill in providing carpet cleaning services. However, cleaning outcomes can vary depending on carpet fibre, age, previous maintenance, stain history, wear patterns, dye stability and environmental conditions. Some stains, odours or marks may be permanent or may respond only partially to treatment. We do not guarantee complete removal of all stains, odours or discolouration.
Where appropriate, we may carry out spot testing before using a product or treatment on the main area. If a carpet or rug is especially delicate, antique, colour-sensitive or otherwise at risk, we may advise that only limited treatment is possible. You accept that certain materials may shrink, fade, distort, bleed or react unpredictably despite our use of professional methods.
If you request the use of a particular product, fragrance, process or method against our recommendation, we may decline to proceed or may ask you to confirm the instruction in writing. In such cases, any resulting risk will remain with you to the extent permitted by law. Carpet cleaning in Sydenham Hill is carried out with a focus on safety, practicality and professional judgment rather than guaranteed restoration.
6. Liability and Exclusions
We accept liability for direct loss or damage caused by our negligence, but only to the extent required by law. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be limited or excluded under UK law.
We are not liable for indirect or consequential losses, including loss of business, loss of profit, inconvenience, wasted expenditure, loss of use, or emotional distress, except where such limitation is not permitted by law. Our total liability for any claim arising from a booking, whether in contract, tort, misrepresentation, or otherwise, shall be limited to the amount paid or payable for the specific service in question, except where law requires a higher standard.
You must notify us of any alleged damage or issue within a reasonable time after completion of the service and, in any event, before the cleaned area is put back into full use where this is reasonably possible. Failure to do so may affect our ability to investigate the issue and may reduce or remove any right to compensation to the extent permitted by law.
7. Waste Regulations and Environmental Handling
We aim to operate in accordance with applicable waste management and environmental requirements in the United Kingdom. This includes the lawful handling, storage and disposal of waste generated through the cleaning process, such as used cloths, packaging, empty product containers, extracted residue, and contaminated materials where disposal is required.
Where waste is transferred for disposal, it will be handled using methods that are reasonably appropriate for the type of waste produced. We may separate reusable items from non-reusable materials and may retain responsibility only until lawful transfer to an authorised waste handler or disposal route. You must not ask us to dispose of prohibited materials, hazardous substances, or items unrelated to the agreed carpet cleaning service unless we have expressly agreed to do so in advance and lawfully can accept them.
Any materials left for disposal by us remain subject to the relevant waste duty of care obligations. We reserve the right to refuse work if the premises contain waste, contamination, infestations or hazardous matter that would make the job unsafe or would require specialist handling beyond the scope of ordinary carpet cleaning. Where additional cleaning or disposal costs arise because of contamination or unlawful storage, those costs may be charged to you if permitted by law.
8. Access, Property and Equipment
You agree to provide suitable access to the property and to ensure that water, electricity and other necessary utilities are available where required for the service. If parking restrictions, building rules, entry systems or access controls affect attendance, you must let us know in advance. Any extra time or cost caused by access issues may be charged if reasonable and necessary.
Our staff may bring professional equipment, hoses, cleaning agents and protective materials onto the premises. You must not interfere with equipment in use, move it without permission, or allow third parties to do so. Any loss or damage caused by interference, misuse or unauthorised handling may be your responsibility, subject always to applicable law.
We will take reasonable care when working in your property, but you acknowledge that moving furniture, using water-based cleaning, and operating machinery can carry some risk of minor disturbance. We are not responsible for pre-existing defects, normal wear and tear, fragile fixtures, or incidental issues that occur despite reasonable care and are not caused by negligence.
9. Complaints and Remedies
If you are dissatisfied with any aspect of the service, you should raise the issue with us as soon as reasonably possible so that we can investigate and, where appropriate, inspect the area in question. We may request photographs, access for a revisit, or further information to understand the concern. We will assess complaints fairly and in good faith.
Where a complaint is justified, our preferred remedies may include re-treatment of the affected area, a partial refund, or another reasonable solution depending on the circumstances. The remedy offered will reflect the nature of the issue, whether it can be corrected, and whether the complaint was reported promptly. We are not obliged to offer a remedy where the issue arises from factors outside our control or from information not disclosed to us before the work began.
If a dispute cannot be resolved informally, both parties agree to act reasonably and to attempt a proportionate resolution before commencing formal proceedings. This does not affect any legal rights you may have under consumer law or any right to seek the assistance of a court or other recognised body where appropriate.
10. Force Majeure
We shall not be liable for failure or delay in performing our obligations where the failure is caused by events beyond our reasonable control. Such events may include, without limitation, extreme weather, transport disruption, fire, flood, epidemic, industrial action, utility failure, emergency regulations, or shortages of materials or labour.
Where a force majeure event prevents us from attending or completing the service, we will make reasonable efforts to rearrange the appointment or otherwise mitigate the impact. If performance becomes impossible for a prolonged period, either party may cancel the affected booking, and any refund entitlement will depend on the stage reached and any costs already reasonably incurred.
These Terms and Conditions are intended to provide a fair balance between service flexibility and customer protection. By booking with Sydenham Hill Carpet Cleaners, you confirm that you have read, understood and agreed to the current terms applicable to the service requested.
11. Governing Law
These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim, subject to any mandatory rights you may have under consumer protection legislation.
Carpet cleaning services from Sydenham Hill Carpet Cleaners are provided on the basis that all parties will act lawfully, reasonably and in good faith. If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
